The use of specific information systems is not common in our line of business. All the more then did we have to deal with the question of effective and transparent administration of our website using an outside company. Given the fact that we are not a technically-oriented company, an outside company ensures the administration of our IS and IT for us, including our website.
Communication between a number of companies by e-mail and telephone only was extremely demanding until we began using TaskPool. By using TaskPool we are able to manage requests for the administration of our website very simply and effectively. We can access the application from anywhere via the Internet. It provides a uniform view of communication for all those involved, informs us of changes, and allows us to set priorities. I most value the filters that the user can adjust him or herself and which can be used by all to display exactly those requests that they need to see.

For quite a while we had been groping around in the sheer volume of questions about ASUS products and more. The server www.svetnotebooku.cz, which answers dozens of questions daily, could no longer be realistically managed using e-mail communication.
Now, after engaging the TASKPOOL system, our work is considerably more effective. I see what a customer wants from the company, I have people here that answer questions, and I am able to check on them. I see that they have answered a customer the next day and not within an hour and can draw my own conclusions from this. And this all helps improve services for the customer. What is more, TASKPOOL helps me manage the projects of which our company has so many. Now we have order everywhere.

Nkt cables, a.s. is a leading producer of cables in the region and in Europe as a member of the nkt cables group, which operates in the Czech Republic, Poland, Germany, Denmark, Austria, and China.. Our company has successfully operated an SAP R/3 information system for many years now. After the successful implementation of the SAP system at our affiliated Polish cable plants, we began to deal with the problem of how to support and develop our joint information system “across the border”. What is more, even our support IT team is located in several countries in Europe.
We discovered TaskPool and began to use it as the main tool for our helpdesk activities and teamwork as part of IT/SAP support and development. In a very short period of time we were able to centralise all our user requests and internal tasks in one environment, visualise them, and begin to deal with their prioritising again, this time more effectively. Reporting for management and internal use is now more declarative, reflects up-to-date situations, and is always available on-line. In TaskPool we found a professional helpdesk tool to support work within an international IT team that brings us the know-how invested and in spite of the fact that it grows with us according to our above-standard expectations, the Bellman Group is able to adapt this solution “made-to-measure”. I should also mention one considerable advantage of this system, which is run:
- in ASP form – we don’t have to worry about the application using our own people, but leave this fully to professionals for a very reasonable price;
- via the Internet – it is accessible even outwith the local business network simply by using an Internet browser anywhere in the world. Nonetheless, it is still secure and there are no fears of any possible misuse of internal information; which I truly consider to be a step in the right direction.

The TaskPool system precisely meets the demands of our company in terms of the quality and transparent management of more complex projects all the way to recording individual steps. This principally concerns projects in which a number of outside suppliers are involved. By using TaskPool we have all the required information at our disposal in real time, which allows us to be far more flexible in managing projects and the required internal capacities. We are currently also considering the use of TaskPool to take care of routine operational communication with our suppliers.

Thanks to the TaskPool application we have been able to bring order to the distribution and administration of requests to our outside supplier of one of the key information systems at our company. We now have individual requests clearly arranged by individual economic unit, can unambiguously define authority and responsibility, and are able to monitor deadlines and the history of request fulfilment. This has all made a major contribution to keeping checks on the costs of maintaining and modifying the system. Another area of use is the internal management of requests to employees at the IT division, where it is now possible to monitor deadlines and at the same time use the system as a simple knowledge base.

The TaskPool web application has been in use at our company for almost six months now and I can say that there have been no fundamental user objections so far. The task-submitting of before, i.e. via e-mail, certainly had its plus points, but there were more negatives than positives, for example the limited possibilities of subsequently checking that tasks had been done or not or the cases of “losing” tasks in the flood of other mail. TaskPool deals effortlessly with these and other unpleasant examples and, in combination with its price, has become an extremely useful management tool on the market. We are certainly satisfied!
