How can I try out TaskPool and its modules?

TaskPool is purely a web application. So you can try it online from anywhere you like. All you have to do is fill in a short form in the section entitled Try it out and you will receive log-in information by e-mail. This log-in information will be available for a full 10 days, so you can get to know the ins-and-outs of the system perfectly.

When TaskPool is intended for tasks, orders, helpdesk etc., how can I make sure that my requests are not mixed up?

It is a good idea to create a "pool" (i.e. a separate workplace for requests) for each application area (e.g. tasks, helpdesk, orders, complaints, purchasing requests, etc.) or category. You can define your own procedure for processing requests within each pool (workflow), determine a specific team to work on requests , add a standard form and your own data fields, etc.

Thanks to the organisation of requests in pools, it is possible to administer tasks, helpdesk, and other areas separately, clearly, and independently and display them only to the users that are to work on them.

TaskPool will help you deal with requests throughout the company in a uniform and simple environment.

What exactly do the "licence" and "ASP" variants of acquiring the system mean?

Acquiring a licence means that you install TaskPool (either yourself or with the use of our services) on the company server and administer the system yourself. You have a time-restricted right to use the application. You actually acquire a number of system users and a server part of the TaskPool system. We will send you an up-to-date pricelist together with your access information for the trial version.

The ASP format is intended for companies that do not want to or are unable to look after their own server and that want to concentrate more on their main business processes.

We can therefore rent you the entire system. You don't pay for any extra services, you don't have to deal with emergencies, you don't have to deal with the administrator being ill, backing-up data, etc.

We call rental ASP (Application Services Providing) and you pay a standard monthly or quarterly rate. Our calculations show that when you add together the TCO (total costs of ownership), the ASP version is more financially beneficial than buying a licence for the system for a minimum of 4 years system operation.

How does the licensing of TaskPool users work?

Only the number of users is charged, i.e. the number of users that have a user account set up in the system. In other words, users that can log-in, that have access to pools (categories) that you allow them to access, and that can perform tasks according to the rights set up for them in the system.

Obviously the system can also be used by users, which do not have an account here. These users access the system through the HelpDesk module and their number is unlimited. This feature is typically used for, e.g. communication with customers via your website (e.g. product support, methodical support, answering customers' questions) or providing a helpdesk in the organisation with a number of users.

You would pay for these users elsewhere, but their number is unlimited in TaskPool. You just have to use TaskPool together with the HelpDesk module.

How do I add other modules to TaskPool or increase the number of TaskPool users?

If you want to increase the number of system users, simply contact your consultant or the commercial department. We will generate a new licence key for you and pass it on to you once you have paid the invoice. After entering this in the system you will immediately be able to create more users or use the functions of other modules.

I want to order TaskPool: what exactly do I have to do?

If you already have a tried and tested online system, the standard procedure is as follows:

  • Contact the Bellman Group here.
  • The Bellman Group will prepare a concise offer.
  • Send your order.
  • Once we receive your order we will make the latest version of TaskPool available for you to download (with the selected module if required) and will send you an invoice. You can install the system immediately and carry out basic configuration..
  • We will then send a licence key once the invoice has been paid. Enter this and you can start using the system right away.

We supply an installation manual for the system and the system is also accompanied by an Administration Manual and a User Manual. So you will be fully equipped with documentation for the system.

Where should I install TaskPool at the company?

If you chose ASP format (rental), you don't need to worry about this question. You won't install a thing. TaskPool is a web system and all you need to be able to use it is an Internet connection and common Internet browser. In this case we will set up a system address at taskpool.your company.com free of charge.

If you buy a licence, you will need to install TaskPool on your company server. The requirements of TaskPool in terms of HW are not huge and there's certainly no need to buy new equipment - the server need not be dedicated. A specification of requirements in terms of HW and SW is presented in the section entitled Technical requirements.

If you don't have your own server and don't want to use our ASP services, you can contact our web-hosting partner, which will rent you the required hardware.

What's involved in the installation of TaskPool on the company server?

The most important thing is to prepare your server according to the requirements stated in the section entitled Technical requirements. The actual installation of TaskPool can be done by an administrator with medium-term experience in 2 - 6 hours. He or she will have an installation manual available to help. If you come across a problem, use our helpdesk or hotline (if you have ordered this type of support).

You can also use our experienced engineers, who will install TaskPool for you in person or with the help of remote access. The price you will pay is comparable or less than you would pay your administrator and you also have the certainty that installation will be error-free.
